Direct Hire Part-Time Administrative Assistant opportunity - Allentown, PA

The Administrative Assistant role is key to creating a welcoming, professional, and organized office environment that reflects our client's commitment to their clients. The ideal candidate is collaborative, adaptable, and able to balance multiple priorities while consistently delivering a positive experience for clients and team members.

Key Responsibilities:

  • Serve as the first point of contact for clients and visitors
  • Manage front desk operations, including greeting clients, phone screening, and scheduling conference rooms
  • Support daily office operations, including ordering supplies, coordinating vendors, handling mail, and maintaining general office organization
  • Provide administrative support to the team by preparing client materials, assisting with billing correspondence, and managing documents
  • Support technology and communications, including maintaining internal resources, posting approved social media content, and assisting with email communications
  • Contribute to office culture through participation in team activities and internal initiatives

Qualifications:

  • Proven experience providing administrative or operational support in a fast-paced professional office environment
  • Background in Financial Services, Insurance, or related professional services is preferred but not required
  • Strong organizational, multitasking, and communication skills
  • A client-first mindset
  • Proficiency in Microsoft Office; familiarity with SmartOffice CRM, Constant Contact, and general office technology is a plus
