Join our team! TruSpire Wealth Advisors is seeking a dedicated Client Service Coordinator to support our clients and strengthen our growing organization.

Position Summary

The Client Service Coordinator provides administrative, operational, and client support to ensure a high-quality client experience and efficient office operations. This role serves as a key point of contact for clients, prospects, internal staff, and external partners, supporting the financial advisor and contributing to a professional, welcoming office environment.

Key Responsibilities

Administrative & Business Operations

  • Schedule, confirm, and manage client appointments and calendar coordination.
  • Answer inbound calls from prospective and existing clients; schedule appointments or appropriately refer inquiries to the Financial Advisor.
  • Accurately document client interactions, calls, and service activities in the client management system.
  • Serve as the primary point of contact for office facilities-related requests, ensuring a safe, functional, and well-maintained workplace.
  • Manage the flow of wholesalers and external partners within the office, including submitting and tracking invoices for approved payments.
  • Coordinate client appreciation events, marketing seminars, and other firm-sponsored events.
  • Maintain client files and records in compliance with firm policies and records retention requirements.
  • Order office supplies and manage other administrative and operational needs as required.

Client Service & Relationship Support

  • Greet clients upon arrival and provide professional, welcoming experience.
  • Maintain accurate and up-to-date records within the client relationship management (CRM) system.
  • Track client milestones and significant life events, assisting the Financial Advisor with timely and appropriate outreach in accordance with the firm’s client relationship management model.
  • Review and respond to emails and client inquiries promptly and professionally.

Qualifications

  • Bachelor’s degree required.
  • Proficiency in Microsoft Office, including Outlook (calendar and email), Excel, and Word.
  • Prior experience in the financial services and/or insurance industry preferred but not required.
